Executive Board
The Executive Board positions include President, Vice President, Treasurer, and Secretary. To learn more about what these positions entail, please consult the PTO Bylaws.
President
- Lead and facilitate monthly PTO meetings.
- Provide final approval on all PTO sponsored events and activities.
- Ensure all events have proper forms completed - Statements of Insurance (SOI) and Facility Use Forms.
- Review proposals for and deny/approve new PTO committees.
- Lead supplementary fundraising events throughout the year (e.g., parking spot raffle) to meet budget needs.
- Represent Westbrook PTO in recurring collaborative meetings with the principal.
- Represent Westbrook PTO in D57 PTO Presidents meetings.
- Lead yearly budget planning and executive board decisions.
- Prepare a back-to-school presentation.
President-Elect
- Support facilitation of monthly PTO meetings.
- Manage all email communication through the ptowestbrook@gmail.com account.
- Lead main fundraising event (e.g. Bee Bowl).
- Lead selection and coordination of special assembly.
- Represent Westbrook PTO in recurring collaborative meetings with the principal.
- Represent Westbrook PTO in D57 PTO Presidents meetings.
- Participate in yearly budget planning and executive board decisions.
VP of Communication
- Create and distribute the following via Parent Square:
- monthly newsletter on the first Monday of each month. Monthly newsletter should include a recap
of prior month’s events and accomplishments and an outline of upcoming events. - event-specific calls for volunteers and/or donation

- Participate in yearly budget planning and executive board decisions.
VP of Social Media
- Create and distribute the following via Instagram and Facebook:
- timely updates of upcoming events and meetings
- timely shares of completed events
- spotlights on staff and students
- Grow awareness of social channels
- Participate in yearly budget planning and executive board decisions.
Secretary
- Create agendas for monthly PTO meetings and upload to the Drive 24 hours prior to meeting.
- Record minutes from monthly PTO meetings and upload to the Drive within 24 hours of meeting.
- Apply for community grants (e.g., Walmart, Aldi).
- Participate in yearly budget planning and executive board decisions.
Treasurer
- Manage budget and provide monthly budget reports on incoming donations and outgoing expenses.
- Review proposals for and deny/approve expenses that exceed budget.
- Manage operating expenses and vendor payments.
- Authorize and sign any contracts and checks.
- Submit Liability Insurance paperwork and payment in a timely manner.
- Complete the filing of appropriate forms to the IRS.
- Participate in yearly budget planning and executive board decisions.
Beautification
Do you love to garden, have a green thumb, or just love to make spaces more beautiful? If you answered yes, then this is the role for you! This committee maintains the planters around the school, planting seasonal favorites and decorating with festive additions.
Birthday Books
Provide students with the birthday gift that keeps on giving – a book! This committee fosters the love of reading by purchasing books to be gifted by the principal to the student on their birthday (or half birthday). Books are selected in collaboration with the librarian to ensure they are age appropriate.
Book Fair
This committee coordinates with the librarian to bring a book fair to Westbrook. In addition, they support students and their families in selecting and purchasing books. This event takes place over several evenings, usually in November.
Celebration of Culture
New this year, we are hoping to have an after-school event where families can share a traditional snack, treat, or dish from their culture with other Westbrook families. The committee would be responsible for organizing the space and volunteers. Tentatively penciled in for Jan or Feb.
Coat Swap
This committee coordinates an event where families can donate gently used coats and pick up coats of different sizes for their children. It's a great way to recycle outgrown clothing, save money, and help families in need of winter wear!
Equity
Key Responsibilities:
- Develop Inclusivity Guidelines: Create and maintain guidelines to ensure all PTO efforts are inclusive and equitable.
- Support Committees: Serve as a resource to help other committees integrate equity and inclusion into their work.
- Advocate for Equity: Bring opportunities to the PTO Executive Board to enhance equity and inclusion within the school community.
Fundraiser (Bee Bowl)
The Westbrook PTO holds a major fundraiser each Fall, our Bee Bowl! Many volunteers are needed to plan and
coordinate this event.
- Meet over the summer to identify any builds or updates to the bowling themed event and fundraiser
- Contact local businesses to solicit for donations used as a raffle prizes
- Work with PTO executive board to coordinate donation system
- Help to promote the event and get the school community excited
- Execute the “Bee Bowl”
LRC (Learning Resource Center)
Books! Books! Books! This committee chair works with LRC staff in August to create a sign-up schedule for the whole year to allow parents to volunteer in the LRC. The chair will communicate as needed throughout the year as new
volunteers sign up and make edits to the sign-up schedule. The LRC chair should also make themselves available to volunteer in the LRC so they get a sense of the help that is needed.
Reading Incentives
This committee encourages daily reading by providing monthly incentives to those who read every day. Committee chairs can determine the incentives and tracking method. In the past we’ve worked with Station 34 and every student
that completed their daily reading for the month was awarded a free kids pizza. Yum!
Room Rep Coordinators
Have you been a room rep (aka room mom, room parent) in the past? Would you like to help ensure all students have a similar experience regardless of what classroom they’re in? Then join the Room Rep committee to help outline the party dates (e.g., Halloween party, Valentines Party) and collaborate with all the classroom room reps to organize fun parties for the students.
School Supplies
Help put the correct supplies into the hands of families and take the burden of shopping off their plate. Chair will begin working with the front office in November/December to gather teacher lists of supplies. Chair will then work
hand in hand with the school supply company to create the supply packs and get the promotional materials out to families. Chair will need to be on hand in August to receive the shipment of supplies and distribute to the appropriate classrooms. Volunteers are often available to help.
Social Events
Organize and plan social events throughout the school year that strengthen connections between Westbrook and families. Events are scheduled in the evening or on weekends outside school hours. Events are planned in sub- committees and supported by the larger group.

Spirit Wear
Promote school spirit through Westbrook branded items. Coordinate shirt orders for all new Westbrook students, funded by the PTO, as well as outgoing shirt orders for exiting 2 nd graders, also funded by the PTO. Shirts for the second graders would proudly display their upcoming school, being either Fairview or Lions Park. Have other ideas for Westbrook branded items? As a part of the committee, you can make your ideas a reality.
Staff Appreciation
Lead the effort in celebrating the Westbrook staff twice a year. The first celebration takes place during fall conferences and the second is during a week-long Staff Appreciation celebration in May. Ways to celebrate have previously included raffle prizes, meals, and gifts.
Summer Playdates
Lead the effort in bringing together returning and new students to one or a series of play date events over the summer and as school resumes. Events have historically included an incoming kindergartener playdate, an incoming first grade playdate and a full- school popsicles in the park.
Sweet Celebrations
Would you love to visit your first grader once a month during lunch time and ensure the whole grade gets a special surprise? If so, Sweet Celebrations may be the role for you! Sweet Celebrations organizes and manages once-a-month celebrations during lunchtime inclusive of entertainment (e.g. movie or music) and sweet treat. The sweet treat is always an allergy-friendly item that everyone can enjoy.

Please look through the committee descriptions and let us know if you would like to join or learn more. Even if a committee position is not “open,” still please let us know if you want to help. We would love to have you!
